SUMMARY: Operating under the oversight of the Program Director, the Program Coordinator is responsible for managing and overseeing Calm Waters school and university programming, including support groups and partnerships, serving children and college-aged students who have experienced a loss due to death, divorce, or other significant loss. The Program Coordinator is also responsible for coordinating with the trained volunteers and contract facilitators who support the school support group programs. Additionally, this position is responsible for responding to client calls, scheduling intake or screening appointments, and supporting other program needs.


Essential Duties & Responsibilities:

  • Program Duties
    – Conduct community outreach for potential support groups at elementary, middle, and high schools as well as
    universities within Central Oklahoma.
    – Coordinate, support, train, and supervise community partners to successfully implement partnership services.
    – Develop curriculum to support program implementation for school support group and partnership projects.
    – Co-Facilitate volunteer, webinar, and community trainings.
    – Work in conjunction with the Program Director to train and recognize volunteers.
    – Assist Program Director in development and implementation of annual summer camp, Camp Courage.
    – Support Program Director in the development of comprehensive evidenced-based curriculum for all
  • Administrative and Community Duties
    – Responds to client phone calls and schedules intakes and screenings for new clients.
    – Provides program leadership and support to other program staff and program volunteers as needed.
    – Participates in annual department budget and monthly reports regarding revenue, client volumes and program
    – Participates and adheres to timeline in Calm Waters Strategic Plan.
    – Assists in planning annual program calendar.
    – Attend regularly scheduled staff meetings, team member meetings, program committee meetings.
    – Performs other duties as assigned by the Program Director.

Additional skills and abilities:

  • Demonstrates excellent verbal and written communications and presentation skills
  • Must be knowledgeable and proficient with Microsoft Office Suite and Adobe Suite or other design software
  • Must be an innovative self-starter searching for ways to simplify processes and enhance programming
  •  Must be able to develop, prepare and manage program budgets
  • Demonstrates leadership abilities and ability to utilize reflective supervision
  • Ability to work as a cooperative and supportive team member
  • Ability and willingness to assist development and marketing in all events
  • Ability to exercise discretion in handling confidential information and materials
  • Ability to communicate effectively and respectfully with peers, volunteers, community partners and other

Required Education and Experience:

  • Bachelor’s Degree in Psychology, Social Work, Human Development and Family Science, or a related field.
  • A minimum of two years’ experience in a social service agency or related field.

Additional Job Requirements:

  • Clearance of background check.
  • A strong clinical understanding of clinical interventions specific to children and families’ grief experience.
